Project Timeline

The Project Timeline shows an overview of how our team manages our action projects with key elements including important communications between the team and the charity and key dates for delivering activities.

Initiation period

26th April - Created a group chat on social media & TEAMS.

 

28th April - Meet your Action Project charity (1st group meeting)

May

Risk Assessment &

Project Proposal Finalising

4th May - Met as a team to create the proposal outline. George created the ground rules document as well as the form of the planned absence. Organised the team's folders accordingly (2nd meeting).

 

12th May  - Created a Gantt Chart to track progress and individuals workload and progress.

 

18th May  - Meeting about the questions that will be asked on May 20th. Video planned to be made (3rd meeting).

 

20th May  - BEMSCA meeting at the Fairfield House (4th meeting)

  • Surveyed the area as a potential venue for activities.

  • Ideal for local business, lots of B&B/hotels/supermarkets for partnership.

  • In the process of acquiring a camera for video.

  • Scouted location of potential shots. 

  • Ask the Uni for a camera.

 

27th May - Group meeting. Finalised tasks and divided them into sub-teams. Got the camera for video taking on Jubilee Tea Party.  (5th meeting).

 

Activities plan to do:

  • Survey old people (adapt) 

  • Survey young people 

  • Mah-jong/Ludo/Domino-a-thon

  • Fundraising 

  • Social media/Advertising (Instagram challenge) 

  • Conduct Focus Groups

June

Jubilee event

2nd June  - Group meeting. Finalised the Action Project approval form, peer reviewing other sections, as well as the risk assessment (6th meeting).

 

 

26th June  - Jubilee Tea Party, BEMSCA fundraising day celebrating the jubilee, conducted interviews, took photos and basic stock footage of the event (7th meeting).

July

Commencement of the Action Project events

10th July  - Meeting to discuss deliverables for a meeting on Wednesday (8th meeting).

 

13th July  - Met outside the library with Toni and Michael. First proper meeting with BEMSCA since we had to work the AECOM (9th meeting).


Agreed on delivering the following activities:

  • Two-minute advertising video

  • Interview videos - individual. 

  • Digital strategy - social media rollout (draft of the bigger strategy) 

  • Event - 30th - promotion - awareness - food/tours/sharing experiences (interviews) 

    • Focus on students, and begin to acquire the resources to enable this. 

    • Aim for 50 attendees.

  • Questionnaires for the event - create a student version. Give feedback to BEMSCA on the questionnaire. 

  • Students - cultural enhancement/tourism advertising. Use SoM and SU to transmit.  

  • Digital poster

  • Focus groups on the day

  • Run through Eventbrite - ticketed events - use all the same marketing for all communication avenues. 

  • With questionnaires - send to BEMSCA for approval, also the avenues through which this will be distributed. Social media channels etc.

  • Need a structure for interviews.

 

14th July  - Virgil building meeting (10th meeting).

 

15th July  - Fairfield house meeting (11th meeting).

 

  • Discussing the questionnaires - mental health BAME

  • The focus groups - Focus Group/Lunch/Tours/Games - Intergenerational. 1 Focus group in the library and 1 Focus group somewhere else.

  • Wider than BEMSCA membership

  • BEMSCA services need to be explained/rescinded depending on the questionnaires.

Focus Group/Lunch/Tours/Games - Intergenerational. 1 Focus group in the library and 1 Focus group somewhere else. 

 

16th July – Meeting on the poster, the questionnaires, Eventbrite link (12th meeting).

  • Finished both of the questionnaires. Sent off the advertising material and the questionnaires to BEMSCA for approval before distributing. 

 

18th - 19th July – Discussed E-portfolio, finalising the designs for the Eventbrite and posters (13th meeting).

 

20th July – Two members attended a focus group training at BEMSCA (14th meeting).

 

27th July - Practice track training for the e-portfolio (15th meeting).

 

28th July - Met at the Virgil building to discuss potential ways to increase attendance at the event (16th meeting).

 

Attendance to be lower than expected due to a number of reasons:

  • Students do not want to walk for an hour and pay to participate in research…

  • Historical links to the Fairfield house might not attract students to come to visit

 

30th July  - hiSTORY at BEMSCA the Fairfield House (17th meeting).

  • 32 tickets sold

  • The event went without issue.

  • Further planning for the bake sale took place. 

August

E-portfolio 

1st August – Meeting for the University of Bath School of Management Instagram takeover (18th meeting). We wanted our rollout for this to be authentic and relatable, not professional, people do not go on social media to see anything work-related, we learned this from talking to Stuart at AECOM. Highest engagement from the school of management account in the last.

 

3rd August – Working on the E-portfolio (19th meeting)

 

4th - 8th August – George is in charge of video editing for the hiSTORY event.

 

9th – 16th August – All group members meet every day to finish all the work (20th meeting and more).
