Action plan for the event
Event Theme
As the event was decided to be student focused, we first proposed a games night to be held somewhere in the city since many students live or frequent the city centre. However, on pondering over the idea we realised that the connection between charity and students can only be established if they are able to see the Fairfield house and meet the people of BEMSCA in person as it worked for us. We wanted to capitalise the energy of the house. Fairfield being the event venue showed how welcoming the house is to its visitors.
Doing a cultural barbeque also aligned with the cause of our charity. In addition to that we managed to integrate our initial idea of game night by adding traditional games such as Mahjong, Dominos, Ludi and Ping Pong.




Catering
BEMSCA agreed to cater for the event using its budget for the COMF Fund as we also hosted two focus groups on the event day and carried out a soft run for the surveys. We took the responsibility of arranging the snacks and drinks for the guests using university allocated funds. By cost cutting and comparing all the different retailers, we were able to shop all our needed supplies in £53.50.

Posters for Event Promotion

We designed an event flyer for promoting the event via different online and offline channels. As, the event covered a tour of the house filled with stories of Hailee Selassie and the visitors shared their stories from the pandemic we thought naming it, ‘hiSTORY’ was appropriate. We planned the colours of the flyer accordingly to give it a nostalgic touch.

A Facebook event was created and shared in local Bath groups on Facebook
Eventbrite
The event was promoted on Evenbrite which also allows people to buy the tickets

Our posters were displayed in other places like: Costa Coffee & Papaw
